 Human Resources Administrative Assistant 

DEPARTMENT: HUMAN RESOURCES

REPORTS TO: HUMAN RESOURCE DIRECTOR

WORK SCHEDULE: FULL-TIME | TUESDAY-FRIDAY, 7:45AM-6:15PM

 

SUMMARY

Reporting to the Human Resources Director, the Human Resources Administration Assistant (“HRAA”) is responsible for providing comprehensive administrative support to the Human Resources Department.  The “HRAA” will be required to both take direction and work independently, to ensure the successful completion of the departmental goals and objectives.  The “HRAA” will work in a professionally and culturally appropriate manner that is consistent and cognizant of the Word of Faith International Christian Center customs and traditions.

 

The “HRAA” will handle a variety of personnel-related administrative tasks, including but not limited to posting job advertisements, updating HR databases, and processing employee requests.

 

The “HRAA” position requires excellent organizational skills and the ability to manage sensitive information with the utmost confidentially.  If you are passionate about HR policies and procedures and want to help create a nourishing workplace, this position is for you.

 

Ultimately, you will gain hands-on HR experience in a fast-paced, dynamic work environment supporting and enhancing all HR functions.

 

DUTIES AND RESPONSIBILITIES:

  • Provide administrative support to HR leadership 

  • Respond to employee inquires and provide accurate timely information. 

  • Maintain employee records in both digital and physical formats

  • Assists in drafting employee correspondence, including offer letters, employment agreements, memorandums and other communications. 

  • Prepare, maintain and distribute meeting agendas and minutes.

  • Track probationary period end dates and annual performance appraisals due dates and generate reports for supervisors.

  • Update HR databases related to new hires, separations, paid time off and leaves of absence.   

  • Assist with payroll preparation by providing relevant data. 

  • Prepare and maintain HR policies, procedures and documentation.

  • Process employee requests and follow up as needed.

  • Coordinate HR projects, meetings, orientations and training sessions.

  • Post job ads and manage incoming resumes.

  • Manage the department’s webmail and route inquiries accordingly.

  • Prepare reports and presentations for internal communications purposes.

  • Conduct new employee orientations, distribute onboarding materials, and explain organizational policies.

  • Participate in departmental strategic planning sessions. 

  • Demonstrate excellent written and verbal communications skills. 

  • Maintain current labor law posting and stay informed of local, state and federal regulations changes; report updated to HR leadership. 

  • Enhance professional knowledge through educational opportunities and by reading professional publications.

  • Act as a reliable, supportive, and collaborative team member 

 

SKILLS AND REQUIREMENTS:

 

  • Proficiency with MS Office applications. 

  • Knowledge of labor laws and HR best practices. 

  • Strong organizational and time-management skills. 

  • High level of discretion and ability to handle confidential information.

  • BS degree in Human Resources or relevant field.

Full-Time Assistant Director of Information Technology (“IT”)

SUMMARY

The Assistant Director of Information Technology (“Assistant Director”) assists the Director of Information Technology in managing, administering, planning, and coordinating information technology initiatives, programs, and policies. He or She will also assist in providing oversight/leadership for the daily operations of the Department of Information Technology, as assigned, and acts on behalf of the Director in the Director’s absence. Within the scope of this role, the Assistant Director works collaboratively with the Director to coordinate and/or train and assist with management of the departments under its authority (Helpdesk, Quality Control, Sales & Distribution and Data Processing).

 

ESSENTIAL SKILLS AND EXPERIENCE:

​

  • Bachelor’s degree in Business/Computer Information Systems, Information Technology, or significantly related field.

  • Minimum of five (5) years of direct experience in information technology with proven successes.

  • Practical application and experience in current technologies and products used industry.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Consults with the Director to understand business processes and provide technological solutions to meet the organization’s needs.

  • Assists with coordinating and implementing cybersecurity awareness training to staff to help bolster the organization’s first line of defense.

  • Works with Director to assist staff with reducing our data storage footprint to reduce risks

  • Works in alignment and collaboration with the Director of Information Technology in providing guidance and direction to staff and managing operational activities to achieve the department’s long and short-range goals and business objectives.

  • In alignment and collaboration with the Director of IT, has a key role regarding input in performance reviews, performance plans, and other administrative tasks.

  • Significant contributor and provides input to Director of IT on strategy regarding deploying technology solutions in applications and infrastructure (e.g., software implementation, communications and network, data center, server platforms, hardware standards, etc.).

  • Provides hands-on input, support and supporting research documentation to the Director of IT for strategy and budget planning documentation.

BENEFICIAL SKILLS AND EXPERIENCE:

 

  • Worked in an IT management environment within a medium-to-large business or non-profit environment

  • Hardware, Software skills and experience: MS Office 2019 -MS Office 365, Windows XP, 7/10 /11, Google Workspace, Apple related products and support (e.g., iPhones, iPads, Macs), Adobe, Creative Cloud products/services, Donor or Contribution Relationship Management Systems, Electronic Payments, Learning/Education Management Systems, Phone systems, Video Conferencing, hardware configuration, software function and compatibility, Cloud services, CRM systems

  • Certified Network Engineer (CNE)

  • Project Management Certification

 Administrative Assistant

SUMMARY

The Administrative Professional Department has an immediate opening for a full-time Administrative Assistant (“AA”).  The “AA” selected will perform a variety of responsible and specialized administrative and office support functions. 

 

DUTIES AND RESPONSIBILITIES

​

  • Provide administrative support to supervisor.

  • Coordinate and arrange numerous meetings.  

  • Assist with numerous projects.

  • Must be proficient with Excel for numerous reports.

  • Provide effective communication via emails, memos, letters and telephone calls.  

  • Correspond with various locations.

  • Complete and submit internal paperwork, forms, and requests.

  • Manage calendars and schedule appointments.

  • And other duties as assigned

 

QUALIFICATIONS

 

  • Strong administrative skills.

  • Associates Degree or 5 years of experience of working as a high level Administrative Assistant.

  • Excellent organizational and time-management skills.

  • Extremely confidential.

  • Full-time, 40 hours per week

  • Proficient in Microsoft Excel and Word.
